Data Archiving and Permissions

Guidance for data-availability statements, repository deposit, restricted data and permissions in HIV/AIDS research manuscripts.

Authors should explain where supporting data can be found, or why sharing is limited. The statement should be specific enough for editors, reviewers and readers to understand the availability of the data behind the manuscript.

Available data

Name the repository, accession number or stable link, and state any conditions that apply to reuse.

Data available on request

Explain who can request access, what conditions apply and why unrestricted public deposit is not appropriate.

Data not shared

State the reason, such as participant privacy, consent limitations, legal restrictions or institutional policy.

Repository and archiving guidance

Use repositories and supplementary files in a way that supports reproducibility while protecting participants and communities affected by HIV.

Clinical and participant data

Share de-identified data only when consent, ethics approval, law and institutional policy permit it. Explain any restrictions clearly in the data-availability statement.

Sequence or molecular data

Use an appropriate discipline repository when the work includes sequence, molecular or other reusable research data, and include accession numbers where available.

Supplementary files

Submit supporting tables, figures, protocols or instruments when they are necessary for readers and reviewers to understand the work.

Restricted data

When public sharing is not appropriate, describe the reason and the controlled-access process, if one exists.

Permissions and sensitive information

Authors are responsible for securing permission to publish third-party material and for protecting confidential clinical or community information.

Third-party material

Authors must obtain permission for copyrighted figures, tables, questionnaires, images or other material that is not their own.

Patient and community privacy

Images, case details and community data must be anonymised unless explicit written permission allows identification.

Reuse statements

State repository names, accession numbers, licences and any conditions that apply to reuse.

Prepare clear data and permissions statements.

Resolve data availability, privacy and reuse permissions before beginning the JCRHAP submission process.
